  • April 18 - Important Notice Regarding NPI Mandate

    As the May 23, 2007 NPI deadline approaches there are several offices who have not contacted us with the appropriate NPI number information.

    Please fax a copy of your NPI number(s) attention Susie Geary at (504) 834-8979 no later than April 25, 2007. It is critical that OCA retains the appropriate NPI number in order for your claims to be processed through the clearinghouse.

    Failure to obtain your NPI number will result in your claims getting rejected.

    Please note that we must receive both Type I and Type 2 numbers. Some offices have submitted either Type 1 or Type 2 but not both. If you have any questions, please contact the Patient Insurance Services department at (888) 622-7645.

    Due to time constraints, it is suggested that you follow the online process at: www.nppes.cms.hhs.gov.

  • April 13 - Online Lease Access - Lucy

    The Real Estate department is proud to introduce Lucy, your direct link to your office lease. Through Lucy you will have access to OCA's internal lease database as it relates to your practice. The database will provide you with a summary of pertinent facts associated with your office lease including: rent, expiration date and landlord contact information. Log on now and access a copy of your actual lease which OCA has electronically archived. As always, the Real Estate department is here to act as your liason to the landlord and answer any questions you may have regarding your lease.   • March 6 - Important Daylight Saving Time Computer Update

    *CRITICAL INFORMATION*

    Starting this weekend, daylight saving time (DST) will be extended in the United States. DST will start three weeks earlier than usual on March 11, 2007, and end one week later than usual on November 4, 2007.

    During this extended DST period the time zone settings for your computer's system clock may be incorrect unless certain updates are applied to your computer. Therefore, you must make sure that your Windows operating system is updated.

    All of OCA's servers have been updated to the new time zone settings.

    However, in order for your Walrus Scheduler to correctly display locally, each and every computer in your office(s) must be updated to the new time zone settings.

    *MANDATORY UPDATE FOR YOUR COMPUTERS*

    From every computer in your office, please run and install the appropriate update for your operating system. There are two separate updates:
    Update for Windows NT, Windows 2000, Windows XP, and Windows 2003 computer systems
    Update for Windows 98 and Windows ME computer systems.

  • February 20 - Mardi Gras

    Mardi Gras Holiday: The Business Support Services office in New Orleans will be closed Tuesday, February 20 for the Mardi Gras Holiday. The office will reopen on Wednesday, Ferbuary 21. For technical support, please email techsupport@orthodon.com.

  • January 31 - JCO Fees Update - Effective February 1, 2007, OCA has increased the Usual, Customary and Reasonable (UCR) fee automatically for all Walrus Anywhere offices based on the latest Journal of Clinical Orthodontic (JCO) Study. This long awaited increase will affect offices that use the Managed Care Contract feature in Walrus.

    The Journal of Clinical Orthodontic Study is expected to release their 2007 study results at the end of the year with the expectation of the UCR fees increasing for your office(s) early January 2008.

  • November 15 - The Neverending Battle Against Spam and Junk Email

    Due to a massive increase in SPAM and PHISHING attempts on our orthodon.com email accounts, we have implemented a new feature for your mailbox.

    You will see a folder in your inbox called "Spam Mail". In addition to your current "Junk E-Mail" folder, emails that have been identified as potential SPAM or a PHISHING attempt, will be placed in this folder for your review. Like the "Junk E-Mail" folder, you can review the items in there and add them to a "safe senders" list if in fact it was a "false-positive" and is from a legitimate source. We advise deleting all items in these folders after your reviews to help manage your mailbox size.

    If you are not using Outlook Web Access or using Microsoft Outlook 2003, you can not benefit from OCA's SPAM filtering service. This includes Outlook Express, earlier versions of Outlook, or any other 3rd party email client. If SPAM is a major concern to you, we advise either upgrading to Outlook 2003, or using our Outlook Web Access (webmail) portal.

    Please contact OCA Technical Services for assistance in configuring or using these products.

  • November 10 - Chase Paymentech Processor Difficulties Resolved

    Problems at Chase Paymentech have been resolved. OCA staff will continue to work to correct any mistakes due to their outage.

  • October 5 - Align Technology purchases intellectual property from Orthoclear

    OrthoClear has recently announced that Align Technology - the makers of Invisalign® - has purchased OrthoClear's intellectual property, including the company's extensive patent portfolio related to the manufacturing of clear, removable aligners. Align did not assume any of OrthoClear's liabilities or obligations and did not take over its customer base, active treatment cases or any other aspect of its business. Align has no information regarding OrthoClear treatment plans, billing, credit card charges, refunds, promotional offers, certification courses, stock offerings or other OrthoClear business processes or practices. However, Align will make new Invisalign treatment available at no additional charge to current OrthoClear patients and their doctors who want to make a fresh start with Invisalign treatment. Cases for former OrthoClear patients must be treated as new Invisalign cases.     For you to receive a retroactive effective date for the SSA of July 1, 2006, OCA must receive the signed SSA before August 31, 2006.     The OCA Training Department is excited to offer Walrus Ortho, Pedo and Dental Training via the internet. Training is also provided on other OCA systems including Abbey Road, Penny Lane and Hard Days Night. You can also request "brush up" courses on areas specific to your office. To schedule an internet training session call Liz or Cesar in Training.

    Please note that there is currently a computer virus affecting some users of Windows 2000, Windows 2000 Server and Windows XP (Professional and Home Edition). This virus spreads by exploiting Microsoft Windows Plug and Play Buffer Overflow. OCA is providing the following link so that you can ensure your computer is protected if you are using one of the vulnerable Windows products.   • July 21 - 2005 Managers' Meeting Delayed

    With OCA's commitment to continuously providing outstanding support to affiliated doctors and staff, we are pleased to announce the availability of Walrus Help Manuals Online. Simply type in a keyword or topic and you will have the latest information at your fingertips. Our training staff is still available to help you with any questions, but with the ease of online manuals, you won't have to take the time for a phone call. The online manuals will be updated with any changes, so you will always have access to the most current information.   • January 24 - 1, 2 Can we COUNT on you?

    We're making a change and ask for your support as we work to simplify the inventory counting system.

    Rather than having all of the OCA offices count inventory in December, each month we will have 60 offices take inventory. The month your office is selected to count inventory for in 2005 will be the ONLY month you have to count inventory in future years. (Perhaps this will make year-end responsibilities less demanding.)

    We appreciate your cooperation on this very important process and welcome any questions or concerns you may have.

  • December 15 - It's time again for Inventory... and you can COUNT on OCA to make it easy!

    Part of OCA's audit responsibilities as a publicly held company includes a clinical supply count from each location annually. OCA works hard to ensure that this process is as simplified as possible but a few procedures have changed this year.

    If your location counted inventory by September 30, 2004 - do not count in December.

    Locations that DID NOT count in September MUST count in December 2004.

    The inventory portion of the Penny Lane Site will open on December 15, 2004. Your printable inventory work list will be available at that time. Please count ONLY the clinical supplies.

    Your inventory count must be as of December 31, 2004, or the last day that you see patients in December. You may begin entering your completed counts December 23, 2004 through January 7, 2005. Remember to include ONLY the clinical supplies.

    This year your office may be asked to host an auditor as part of the year-end closeout. A representative from the Purchasing Department will contact you if your office is selected.

    We appreciate your cooperation on this very important process and welcome any questions or concerns you may have.

    Please be advised that Orthodontic Centers of America's national Area Customary fee is increasing effective June 18, 2003 in accordance with the most recent JCO study published.

    For offices using Walrus locally, you will need to download the new JCO file from our web page www.orthodon.com. For all offices on Walrus Anywhere, the JCO file will automatically be upgraded by Corporate. For Non-Walrus offices, you should contact the Patient Insurance Department for updated forms.

  • June 5 - Airmiles now available for OCA Europe doctors. Sign in with your doctor account and update your AAdvantage account details. Beginning with purchases from May 1.

  • May 28 - Manager Training Classes for the Summer (Complete descriptions and agendas updated)

  • May 5 - More Penny Lane Airmiles Choices - As announced at the Doctor Meeting in Hawaii, the Delta Skymiles program option is now available for Penny Lane purchases. You now have a choice of AAdvantage OR Delta Skymiles for your Penny Lane purchases from the vendors who give you the best value. You can change or update your settings by signing on to Penny Lane with your doctor username and updating your account details. April purchases will receive airmiles in a couple weeks, so you still have time to update your account to get April miles the way you want them.

  • March 19 - The HIPAA information kits will begin shipping March 26th. All offices should receive them no later than the first week in April. The kits include:

    HIPAA FORMS: ORHIP1, ORHIP2, ORHIP3, ORHIP4, ORHIP5

    The manual is self explanatory, and it should take you about 1 hour to review this information with your staff.

    You can reorder any of the forms on Penny Lane, they are packages with 500 per pack.

    On or before April 14th, 2003 you should begin giving this information to ALL of your active patients/parents., as well as incorporate the process into your New Patient procedure.

    We are now offering a new advanced training class. This class will be for all managers and staff who have been trained and would like to learn more about important, daily issues within the practice. We will cover the following topics in this class: selling new contracts, technical support/trouble shooting, human resources (hiring, firing, incentives, discipline etc.), and collections from patients. This class will be on Saturday, October 26. The class will last from 8am - 3pm and will be held in the Metairie corporate office. Managers are encouraged and welcome to stay for both the Advanced Walrus class on October 25 and the Advanced Training class on the 26th. Presenter, Debbie Wherry from Dr. Birth's office, will speak about how her office came to be one of OCA's highest performing offices as far as new patient contract sales and she will give tips and advice of how to use these techniques in your office.

  • September 26, 2002 10:00 A.M. CST - Service Outage !!! Service Restored

    As a result of the high winds and flooding brought on by tropical storm Isadore building services (electrical, water, telecommunications, etc.) for Lakeway Towers were temporarily interrupted from about 2:00 A.M. to 9:30 A.M. CST, Thursday September 26 . Since OCA's corporate and data services are located in this facility we subsequently experienced a loss of service.

    OCA services HAVE BEEN restored as of 9:45 A.M. and we are currently operating at 95% of our normal level. We anticipate full operational capabilities within the hour.

    Currently, though, Lakeway Towers are still without sewerage and water services but building authorities expect those services to be restored at some point today. Therefore, OCA might not be able to completely staff all service and support teams. Please understand this limitation. Staff members are beginning to make their way into the corporate office and OCA expects to be operating under business as usual conditions by the end of the day as well.

    Still though, if you cannot contact your department representative by phone you should e-mail them or the department head with any questions or concerns you might have. All e-mail addresses of corporate staff are located on our corporate directory .

  • June 28 - As part of our effort to keep office managers fully trained on the latest systems and procedures, we will offer training courses in New Orleans over the course of a year. The first such course will be a basic training course for new and untrained managers.

  • June 5 - Online Statistics Entry Form

    Does your office use a patient accounting system other than Walrus and you are tired of faxing or mailing in your monthly statistics and deposit information? Or are you frustrated because Abbey Road does not update your deposits as quickly as it can for offices using the Walrus System? Well, now you can enter the information online into OCA's statistics entry forms and cut down substantially the time spent providing the information, the costs of mailing and faxing, and you can get more timely information from Abbey Road. If you are already using Walrus, this information is downloaded directly from your system and it is unnecessary for you to complete the forms.

    The forms can be accessed on the orthodon.com website which is accessible by clicking Doctor Special Center on the main page, and then clicking on Doctor Entry Form.

  • May 20 - Due to the overwhelming requests for attendance changes from the Chicago meeting scheduled for July to the San Francisco meeting scheduled in October, it has been decided that the Chicago meeting be cancelled. By the end of last week, only 23 doctors were remaining on the schedule for the Chicago meeting. Due to the low projected attendance, the cost of the Chicago meeting would have been onerous for the doctor participants. Therefore, it was felt that our resources would be better utilized at the San Francisco meeting.   • March 4 - The latest installation and version of Walrus is available. You can schedule a conference call for the installation and training of Walrus 3.2.2 here.

    Offices using Walrus Anywhere will not need to install Walrus 3.2.2, but will move up when the servers are updated.

    Please follow the steps below to schedule your call (you may want to print this and follow once you get to the website):

    1. Read the Overview of the installation and training
    2. Schedule your call by clicking on either of the following links, begin scheduling your call time (located in the overview) or Survey/Schedule (located in the menu)
    3. Complete/Update the rollout survey in order for us to provide you with the appropriate type of installation call times
    4. After completing the survey you will be prompted to proceed to schedule an appointment or to open a support call
    5. Select one of the times listed that is best for the office by clicking on [Book]
    6. If you have a CD-ROM or Zip Drive, you will receive the installation disk, instructions, and the conference call phone number and code prior to the scheduled call
    7. Review the release notes and make sure you have the installation instructions at hand for the call
    8. You will backup Walrus before logging on to your scheduled conference call
